In the rapidly evolving landscape of consumer transactions, the importance of well-defined terms and conditions (T&Cs) in the purchase order (PO) process cannot be overstated. However, traditional methods of incorporating T&Cs as addenda on purchase order outputs faced challenges when dealing with dynamic, item-specific requirements. This case study delves into our client's journey, partnering with us and implementing an innovative SAP S/4HANA and Business Rules Framework + (BRF+) solution to navigate and conquer these challenges. 

Client Challenges

Traditionally, Terms and conditions for a Purchase Order output were saved as a standard text file, suitable for generic scenarios without requiring buyer edits. However, the traditional approach fell short when T&Cs needed tailoring to specific purchase order items. The client sought a flexible solution allowing buyers to edit specific T&Cs based on the conditions of the purchase order while still maintaining a static component of T&Cs that would be printed alongside the edited terms.

We developed a robust solution for our client —a BRF+ application, leveraging SAP Standard text functionality to automate and maintain T&Cs. The key components of the solution included: 

  • BRF+ Decision Rules: Determining editable T&Cs from standard text based on conditions specified in the purchase order. 
  • PO Enhancement: Automatically populating the resultant T&Cs onto the mapped PO header texts, allowing for buyer edits. 
  • PO Output Generation: Combining edited T&Cs from PO header text with static T&Cs when generating the PO output. 
  • RTF Document Upload Option: Users could also upload T&Cs directly onto the PO header text using an RTF document.

The decision to utilise BRF+ was rooted in its low-code capabilities, offering enhanced collaboration, scalability, and rapid development. Key features of BRF+ that contributed to the success of the solution include: 

  •  Comprehensive User Interface: A user-friendly interface for generating functions comprising various rules. 
  • Excel Integration: Intuitively import and manage rules from Excel spreadsheets, empowering business users to configure rules effortlessly. 
  • Simulation and Version Management: Built-in versioning for object management, allowing simulation of rule sets before activation to ensure proper functionality. 
  • Decision Table Expression Support: Seamless uploading and downloading decision table expressions with Excel features. 
  • ABAP Program Integration: Functions created using BRF+ can be invoked by ABAP programs, enhancing flexibility and integration capabilities. 

Making a Difference

In the intricate scenario we navigated, tailoring T&Cs for specific purchase orders demanded complicated coding for users to achieve optimal results. However, leveraging BRF+ and standard purchase order fields, our approach realized the desired outcomes and maintained a low code base and a straightforward solution. Operationally, users now invest minimal time, making changes solely to defaulted generic T&Cs, resulting in an impressive 80% reduction in effort and a process with minimal errors.
